AI voice agents for renewals and retention call customers before a contract or plan renews. After verifying them, the agent states the renewal date and terms from your system and records what the customer intends to do. Asking them to renew, or making a retention offer, generally needs prior express written consent. Cancel requests are recorded and routed.
Key Takeaways
- A notice that only states the date and terms is generally informational.
- Asking them to renew, or making an offer, generally needs written consent.
- Record a cancel request and route it; never argue it on the call.
This post is part of our guide to AI voice agents by use case. The guide's section "Outbound service calls: reminders, surveys, renewals" says a renewal call has two halves: the notice, which is a service call, and the offer, which is a sales call. Here are both halves for any business, as they run in Dograh, an open-source, self-hostable voice agent platform.
A renewal call has two halves
Every renewal call either informs the customer or tries to keep them, and the two follow different rules. Plan the call as two separate pieces before you write a prompt.
The notice tells the customer that a contract, plan or membership renews on a date, on stated terms, and asks what they intend to do. Nothing in it encourages a purchase. The offer is everything that does: asking them to renew, a discount to stay, or a better plan. That half is a sales call.

Most businesses should automate the notice first. It runs the same way for every customer, and its consent is simpler. The offer, or the save conversation with someone who wants to leave, usually works better with a person, at least at the start.
The call does not replace any written renewal notice your contract or state law requires. State auto-renewal laws vary, so that notice goes out from your own system first, and the call follows it. Money due now on a current bill is a different call, covered in AI voice agents for payment and bill reminders. A renewal is about the next term.
The notice: date, terms and what they intend
The notice runs as a campaign from your renewal list. Export the customers renewing in the next few weeks from your own system, leave out anyone who opted out, and upload the list as a CSV to Campaigns. Each column, such as the renewal date or plan name, becomes a variable. A fixed greeting per contact, as text or a recorded clip, can come from the campaign file. It plays before verification, so keep it to the business's name and the customer's name.
Many customers won't pick up. Hiya's State of the Call report, a survey of more than 12,000 consumers in six countries, found that 86% don't answer unknown phone numbers, and 41% of unrecognised calls are left to go to voicemail. Call from a number your customers know. Voicemail handling is off by default. If you turn it on in the agent's Settings and choose "Leave a message", keep the message to the business's name and a number to call back.
When the customer answers, tell the agent in the prompt to ask for an approved check, such as date of birth or the last four digits of an account number. A phone number finds the record but does not prove who is calling. Only after the check does the agent state the renewal date, the terms and the price.
Pre-Call Data Fetch can re-read the account once the call connects (on outbound calls, after the person answers), so a plan changed that morning is already counted. Tell the agent in the prompt to use none of it until the customer is verified, and to read the date, terms and price exactly as returned.
Then the agent asks what the customer intends to do: renew, cancel, think about it, or talk to someone. It records the answer as the customer stated it, and an HTTP API tool writes it back to your system. If the renewal needs a signature or a payment, your own system sends the e-sign or payment link by text or email, because Dograh sends no texts itself.

When the notice becomes a sales call
A renewal notice is informational only if it just states the date and terms. Asking the customer to renew, or making an offer, generally needs prior express written consent. This section is general information, not legal advice.
The rule behind that line is the FCC's rule, 47 CFR 64.1200. It defines telemarketing as a call made "for the purpose of encouraging the purchase or rental of, or investment in, property, goods, or services". It bars an AI-voice call that "includes or introduces an advertisement or constitutes telemarketing" to a mobile number "other than a call made with the prior express written consent of the called party".
So the wording of the prompt matters. "Your plan renews on 1 March at the same price. What would you like to do?" states the terms and records a choice. "Renew today and get a month free" encourages a purchase. If your list only holds the consent a service call needs, keep the prompt to the first kind and test it on real calls.
An existing customer relationship does not change this. The FCC's rule defines an established business relationship "for purposes of telephone solicitations", which matters for do-not-call rules, not for written consent. For the offer half, AI voice agents for upsell and cross-sell covers the full sequence. Confirm your position with counsel.
Cancel requests and the save conversation
A customer who says "I want to cancel" has made a request, and the agent's job is to record it. Tell the agent in the prompt to repeat the request back, record it as stated, and route it exactly as your cancellation process says. It never argues, and it never asks "are you sure?" twice.
The save conversation, if there is one, goes to a person. Transfer Call works on Twilio, Telnyx and Asterisk ARI. It passes no summary by default; on Twilio it can play a short spoken introduction to both people. Write the details to your system with an HTTP API tool before the transfer, including the reason for leaving. If nobody answers within the 30-second default, the customer stays with the agent; tell it in the prompt to offer a callback. An agent-made retention offer is possible only where written consent covers it. A customer who has already left is a different call. AI voice agents for win-back and drop-off recovery covers former customers.
Some customers ask not to be called at all. Dograh keeps no do-not-call list. When a caller opts out, an HTTP API tool writes it to your own list, and you remove those numbers before the next campaign upload. The do_not_call call tag records the request but never blocks a later call. A running campaign's list cannot be edited, so to stop calling someone mid-campaign, pause it and start a new one from a corrected list.
Self-hosted Dograh has no per-minute platform fee (servers, model keys and phone minutes still cost); Dograh Cloud has a 1¢-a-minute platform fee.

Glossary
- Renewal notice
- The part of a renewal call that states the renewal date and terms and records what the customer intends to do. It is generally informational only while it does nothing more.
- Retention offer
- Anything on a renewal call that encourages the customer to stay or buy, such as a discount or a better plan. On a call you place with an AI voice, it generally needs prior express written consent.
- Pre-Call Data Fetch
- A Dograh setting at the bottom of the Start Call node that asks your system for the customer's latest data once a call connects. On outbound calls it runs after the person answers, and it never decides whether a call is placed.
- Telemarketing
- In the FCC's rule, a call made to encourage the purchase or rental of, or investment in, property, goods or services. Asking a customer to renew generally counts.
