AI voice agents for rent reminders call tenants before or on the due date. After verifying the tenant, they read the amount and due date from the property management system and record a promise-to-pay date as stated. Your own system sends the payment link. Once rent is in default, staff and the lease's late-notice process take over.
Key Takeaways
- Call before or on the due date; staff handle rent in default.
- Name the amount only after the tenant passes an approved check.
- Opt-outs live in your own system; Dograh keeps no do-not-call list.
This post is part of our guide to AI voice agents for property management and leasing. The guide's section "Money and the lease: rent reminders and renewals" sums up this call in one line: it goes out before or on the due date, verifies the tenant, then reads the amount and date from the PMS. Here is that call in full, run in Dograh, an open-source, self-hostable voice agent platform.
Why a rent reminder call is worth making
Falling behind on rent is common, and a reminder before the due date catches the tenant who simply forgot. The Federal Reserve's report on household finances in 2025 found that 23% of renters had been behind on their rent at some point in the past year. That share was 19% in 2023 and 21% in 2024, so it has risen two years running.
Most reminders do not need a call. The property management system (PMS) or your payment provider already sends its own text or email, and Dograh has no SMS tool, so the text stays with them. The call is the second step: for tenants with rent still unpaid a few days before the due date, or on the day itself.
A call works where a text gets ignored, because the tenant can answer back. They can say when they will pay, or that they need to talk to someone. The same before-the-due-date pattern is set out in our post on fee and payment reminders in education.
Who gets called, and when
The call list comes from your PMS, not from Dograh. Export the tenants with rent still open and consent to calls on file, leave out anyone who opted out, then upload the list as a CSV to Campaigns. Each extra column, such as the property name, becomes a variable the agent can use. Or start each call from your own system through the API Trigger, which dials at once.
Campaigns set calling hours by weekday, in one time zone per campaign, so split portfolios by time zone. Retries run from 0 to 10, 2 by default, with a delay between 30 seconds and an hour. Campaigns have no per-tenant call cap, so your own list enforces how often anyone is called, or retries are set to 0. A contact cannot be removed from a running campaign; the campaign itself can only be paused and resumed. To skip tenants who pay after upload, upload smaller, fresh lists closer to the call, or use the API Trigger.
Consent generally comes before the first call. In its February 2024 declaratory ruling, the Federal Communications Commission (FCC) said calls using AI-generated voices "require the prior express consent of the called party to initiate such calls absent an emergency purpose or exemption." Capture that consent in the lease or the resident portal. This is general information, not legal advice; confirm your position with counsel.
If the call reaches voicemail, choose "Leave a message" under "When voicemail is detected" in the agent's Settings, and keep it short: the property's name and a number to call back. Never put the amount in a voicemail, because anyone in the household can play it.

How the call runs: verify, then the amount
The call opens with Greeting Text, the fixed line Dograh plays word for word as the call connects. It names the property or management company exactly as the lease does. If you want to tell tenants they're speaking with an automated assistant, or your location requires it by law, say that there too.
Next the agent asks for the tenant named on the lease. A phone number or a name only finds the record; it does not prove who is speaking. So the agent asks for an approved check, such as date of birth or the last digits of the account number. If the check fails, or someone else answered, the agent leaves the property's number and says nothing about rent.

Only after the check does the agent read the amount and the due date. Pre-Call Data Fetch can load the current balance as the call connects, so a payment made that morning is already counted; write the prompt so the agent uses none of it (nothing from it is spoken) until the tenant is verified. It refreshes data for a call that is already happening; it never decides whether to call. The agent then asks whether the tenant plans to pay by the due date, and records any promise-to-pay date as the tenant stated it.
An HTTP API tool writes that date back to the PMS. If the tenant wants to pay now, another HTTP API tool asks the PMS or payment provider to send its secure payment link by text or email. Dograh has no feature for taking payments on a call and no keypad (DTMF) tool, so nobody reads a card number aloud.
Where a reminder stops and collection starts
A reminder about rent that is not yet late is a service call. Once rent is in default, the agent stops calling about it, and your staff and the late-notice process in the lease and state law take over. This section is general information, not legal advice.
The Fair Debt Collection Practices Act (FDCPA) defines a debt collector in 15 U.S.C. 1692a(6) as someone who collects "debts owed or due or asserted to be owed or due another." It excludes collection that "concerns a debt which was not in default at the time it was obtained by such person." It also pulls a creditor back in if it "uses any name other than his own which would indicate that a third person is collecting."
Read together, an owner reminding its own tenant, or a manager calling about rent that was current when it took on the account, is generally outside the FDCPA. The name test is why the Greeting Text uses the exact name on the lease. Our post on missed-payment recovery in BNPL explains that test, and AI Voice Agents for Debt Collection covers third-party collection.
Some rules hold either way. The agent never mentions a late fee the PMS did not return or talks about eviction. It discusses the rent only with the tenant on the lease. Confirm your own position with counsel.
Opt-outs and handing over
A tenant who says "stop calling me" is opting out, and that answer belongs in your system. Dograh keeps no do-not-call list. It can tag the call do_not_call as its outcome, but that never blocks a future call. So an HTTP API tool or the webhook writes the opt-out to your system, and you remove those numbers before the next upload.
A tenant who asks for a payment plan or hardship help needs a person. Transfer Call works on Twilio only and passes no summary by default, so the agent writes the request to your system first. If nobody answers within the 30-second default, the tenant stays with the agent; tell it in the prompt to offer a callback and write the request through an HTTP API tool. Tenants who call in to ask what they owe are handled by AI voice agents for resident support.
Self-hosted Dograh has no per-minute platform fee (servers, model keys and phone minutes still cost); Dograh Cloud has a 1¢-a-minute platform fee.

Glossary
- Promise-to-pay date
- The date a tenant says they will pay, recorded during the call as the tenant stated it and written to the PMS. Staff and later reminders work from it.
- Debt collector (FDCPA)
- Under 15 U.S.C. 1692a(6), someone who collects debts owed to another. Collection of a debt that was not in default when obtained is excluded, which is why a before-the-due-date rent reminder generally sits outside the Act.
- Rent in default
- Rent that is past the date the lease treats as late. At that point the reminder agent stops, and staff and the lease's late-notice process take over.
- Calling hours
- The weekday time windows a Dograh campaign may dial in. They use one time zone per campaign, so a portfolio across time zones needs separate campaigns.
