AI voice agents for missed membership payment reminders call members only after the billing system's own retries and messages have failed. They verify the member, read the amount the billing system returns and ask it to send its own secure payment link. They never take card numbers by voice, and a request to cancel goes straight to the cancellation flow.
Key Takeaways
- Call only after the billing system's own retries and messages have failed.
- Your billing system sends a secure link; nobody reads a card number aloud.
- A member who says cancel moves to the cancellation flow, never argued with.
This post is part of our guide to AI voice agents for gyms and fitness studios. The guide's section "Money: missed membership payment reminders" opens with the rule for this call: it "goes out only after the billing system's own retries and messages have failed, and it never takes a card number." Here is that call in full, run in Dograh, an open-source, self-hostable voice agent platform.
When a missed payment needs a call
Most failed dues fix themselves without a call, so the call comes last.
When a monthly charge fails, the billing system or payment processor retries the card and sends its own text or email with a link to update it. Many members fix it from that message, and no one has to call them.
The call is for the members left over: dues still unpaid after the retries and messages, for example a week after the failed charge. Some never saw the text, and others have a question. Dograh has no SMS tool, so the texts and emails stay with your billing system, and the call is the step after them.

Most members with a failed payment want to keep training, so the call starts neutral. It says the payment did not go through and explains how to fix it.
Who gets called, and how often
The call list comes from your billing system, not from Dograh. Export the members still unpaid after the retries, with consent to calls on file, and leave out anyone who opted out. Upload the list as a CSV to Campaigns, or start each call from your own system through the API Trigger, which dials at once.
Campaigns set calling hours by weekday, in one time zone per campaign, so a chain with clubs in several time zones splits its list by zone. Retries run from 0 to 10, 2 by default, with a delay between 30 seconds and an hour. Set retries to 0 if one call is enough, since your own list decides who is called at all.
Members who pay after the upload need care. To stop calling someone mid-campaign, pause the campaign and start a new one from a corrected list. For lists that change daily, start calls from your own system with the API Trigger, so your system decides who is called. On outbound calls, Pre-Call Data Fetch runs after the member answers and re-reads the balance, so the agent can thank someone who paid that morning instead of asking again. It changes what the agent says, but it never stops the call from being placed.
Voicemail handling is off by default. Turn it on in Settings under Voicemail & Screening and choose "Disconnect the call", or "Leave a message" with only the club's name and a number to call back, never the amount, because anyone in the household can play it.

Consent, and the club's own name
A dues reminder with no offer is generally a service call made in the club's own name. This section is general information, not legal advice.
In its February 2024 declaratory ruling, the Federal Communications Commission (FCC) confirmed that "the TCPA's restrictions on the use of "artificial or prerecorded voice" encompass current AI technologies that generate human voices." Under 47 CFR 64.1200(a)(1), a call with an artificial voice to a mobile number needs "the prior express consent of the called party". The membership agreement can record that consent for calls about the account. Add an offer, such as a discount to stay or an upgrade, and it becomes a marketing call that generally needs prior express written consent, so keep offers off this call.
The name matters too. The Fair Debt Collection Practices Act (FDCPA) defines a debt collector in 15 U.S.C. 1692a(6) as someone who collects "debts owed or due or asserted to be owed or due another." It pulls a creditor back in if it "uses any name other than his own which would indicate that a third person is collecting or attempting to collect such debts." So a club calling its own members about its own dues, in its own name, is generally outside the FDCPA. That is why the Greeting Text uses the club's name exactly as the agreement does. Our post on missed-payment recovery in BNPL explains this name test. Confirm your position with counsel.
Verify, then the amount and the link
The amount waits for the identity check, and the payment itself never happens on the call.
The greeting names the club. If you want to tell members they're speaking with an automated assistant, or your location requires it by law, say that there too. The agent asks for the member by name, then for an approved check, such as date of birth or the last digits of the member number, because a phone number does not prove who answered. If the check fails, or someone else picked up, the agent leaves the club's number and says nothing about money.
Once the member is verified, the agent says the monthly payment did not go through and reads the amount and date the billing system returns. Late fees or paused gym access come up only as the club's written policy and the billing system state them. If the member names a date they will pay, the agent records it as stated, and an HTTP API tool writes it back.
If the member wants to fix it now, another HTTP API tool asks the billing system or payment provider to send its own secure link by text or email. Dograh has no keypad (DTMF) tool and no feature for taking payments on a call. Tell the agent in the prompt to stop any member who starts reading a card number aloud. Recordings and transcripts keep whatever is said, so the call never asks for a full account, card or Social Security number; use a short check such as the last four digits, and send payment links by text or email from your own system.
No card number is taken on the call, in line with the PCI Security Standards Council's guidance on telephone-based payment card data. Our post on handling payment-sensitive (PCI) calls in a voice agent goes further.
Cancel, hardship and opt-outs
Some members answer a payment call with a different request, and each one has its own path.
A member who says "cancel" on this call is passed to the cancellation flow at once, through a pathway, and never argued with. The payment call makes no save deal. That flow is covered in AI voice agents for membership freeze and cancellation requests.
Hardship, a disputed charge or a request for a payment plan goes to a person. Transfer Call hands the member over. Transfer Call works on Twilio, Telnyx and Asterisk ARI. It passes no summary by default; on Twilio it can play a short spoken introduction to both people. Write the details to your system with an HTTP API tool before the transfer. If nobody answers, the caller stays with the agent; tell it in the prompt to offer a callback.
A member who says "stop calling me" is opting out. Dograh keeps no do-not-call list. When a caller opts out, an HTTP API tool writes it to your own list, and you remove those numbers before the next campaign upload. The do_not_call call tag records the request but never blocks a later call. After each call, a Webhook node can send the outcome and any promise-to-pay date to your system. The same pattern runs before the due date in our post on rent reminders.
Self-hosted Dograh has no per-minute platform fee (servers, model keys and phone minutes still cost); Dograh Cloud has a 1¢-a-minute platform fee.

Glossary
- Promise-to-pay date
- The date a member says they will pay, recorded during the call as the member stated it and written back to the billing system. Staff and later reminders work from it.
- Prior express consent
- The called party's agreement to receive calls at a number, which the TCPA generally requires for artificial-voice calls to mobiles. For dues reminders with no offer, the membership agreement can record it.
- Debt collector (FDCPA)
- Under 15 U.S.C. 1692a(6), someone who collects debts owed to another. A club collecting its own dues in its own name is generally outside it, which is why the greeting uses the club's exact name.
- Secure payment link
- A link to the club's own billing or payment page, sent by text or email by the billing system or payment provider. The member pays or updates a card there, so no card number is spoken on the call.
