AI voice agents for event and orientation RSVP call admitted students who haven't answered emails or texts, ask whether they're coming and how many family members will join, and write the answer to the student system. A "no" or no answer goes to an admissions counsellor. Anything about the student's record goes through the school's verification first.

Key Takeaways

  • Text carries orientation messages, and the call is for students who answered nothing.
  • An RSVP of no is an early melt signal for a counsellor.
  • The call covers logistics, and records wait for verification.

Some admitted students answer no orientation email or text, and a counsellor needs to know who they are. We keep the call to logistics under FERPA, cover consent and the opening line, set up the RSVP campaign in Dograh and share one campus rollout. It builds on our guide to event and webinar RSVP calls.

The call is for the RSVP and the silent students

Most orientation messages belong in email and text, and the call is for the students who answered none of them. Schedules and form reminders travel well by text, and students prefer it. A voice call adds something only when it gets an answer, such as whether the student is coming and with how many family members.

That answer matters beyond the headcount. In the School District of Philadelphia's summer melt brief, 42.5% of class of 2024-25 seniors who said in an exit survey that they planned to attend college experienced summer melt, up from 40.5% a year earlier. That is one district's high school seniors, not a national figure, but it shows how many plans change over one summer.

An admitted student who says no to orientation, or never answers, may be one of them. So the agent records that answer as stated and passes it to an admissions counsellor's list, and the counsellor makes the next call. AI voice agents for admissions and enrollment covers the inbound calls that come before this point.

Logistics only, never the student's record

The orientation call covers the date, the session, guests and what to bring, and nothing from the student's record. Under the Family Educational Rights and Privacy Act (FERPA), a school may treat some details as directory information, such as a telephone listing or enrollment status, if it has designated them that way. That covers who to call and what they enrolled for. It never covers financial aid or account holds.

When a student asks about either of those, the agent sends the question through the school's verify-then-answer process, and shares nothing until the student passes it. AI voice agents for student support covers that check and what the agent answers after it.

Three steps of an orientation call: an admitted student gives the RSVP and is asked about family members only after a yes, a parking question is answered from the campus guide in the Knowledge Base, and a financial aid or hold question goes to the school's verify-then-answer process, with the student record locked until the student passes it.
Once a student is in college, the rights over their records belong to the student, so the agent gives a parent the event details and takes their RSVP for the family, and keeps everything else for the student.

Parents often answer the phone during summer. Once a student is in college, the rights over their records belong to the student, so the agent gives a parent the event details and takes their RSVP for the family, and keeps everything else for the student. Confirm with counsel how your school's directory information and parent rules apply to these calls.

An orientation call to an admitted student is a service call about their own place at the school. Because the FCC's 2024 ruling on AI-generated voices counts an AI voice as artificial under the Telephone Consumer Protection Act (TCPA), calling a student's mobile needs their prior express consent, which they usually gave with the number on their application. Selling a housing upgrade or a paid summer programme on the same call makes it telemarketing, which needs prior express written consent.

The Greeting Text names the school and the event, and plays word for word as the call connects. For families who speak another language at home, write a short greeting in both languages, such as "Hola, hello", since it plays before the agent can hear which one the caller uses. Schools that tell students they're talking to an automated assistant, by choice or because local law requires it, add that sentence to the same greeting. Switch off Allow Greeting Interruption on the Start Call node so the full greeting plays.

Setting up the RSVP campaign in Dograh

The call list comes from your student information system as a campaign file. Columns such as the student's first name and session date become variables the agent uses. A family that prefers Spanish can get its own greeting through the greeting_override_type and greeting_override_text columns on that student's row.

The agent asks whether the student is coming first, and asks about family members only after a yes. Variable extraction records both answers as stated, and a Webhook node sends them to the student system after the call, retrying automatically if your endpoint is briefly down.

A student who wants a different session moves on the same call. An HTTP API tool asks the orientation system for open sessions and moves the booking, with a Preset Parameter named workflow_run_id set to {{initial_context.workflow_run_id}} so a repeat never books twice. Questions about parking or move-in day come from the campus guide you upload to the Knowledge Base.

Calling hours are set in a single time zone for each campaign, so admitted students from other regions get a campaign of their own. Voicemail handling is off by default. If you turn it on and choose Leave a message, keep the message to the school's name and a number to call back.

What one campus RSVP rollout taught

A real campus rollout shows how small the call should be. How IIT Delhi ran its Alumni Day invitations with Dograh describes a one-week rollout that began with a 5% pilot of the alumni list before a weekend launch. The agent spoke Hindi or English, or the Hinglish mix many alumni use, took each RSVP as yes, no or maybe, and asked about family members only once the alum's own answer was known.

Alumni who were busy got a callback at a time they chose, recorded during the call, and the conversation was split into small jobs, such as the invitation, questions, the RSVP and callbacks, each handled by its own focused part. Written follow-ups went out through the organiser's own messaging provider, which an HTTP API tool asks to send during the call. The lesson for orientation is the same. Keep the call short and send the details in writing.

Glossary

Summer melt
Students who plan to attend college in the fall but don't enroll. An orientation RSVP of no, or no answer at all, is an early sign worth a counsellor's call.
Directory information
Details in a student's record that FERPA lets a school share without consent if it has designated them, such as a telephone listing or enrollment status. Financial aid and grades are never part of it.
Prior express consent
Permission to call a number about a matter, often given by providing the number for it. An admitted student who gave a number on the application has generally given it for calls about enrollment.
Greeting override
Campaign file columns that give one contact a different opening line, such as a greeting in the family's language, while every other contact hears the agent's usual Greeting Text.
